Description

Conscious Healing is seeking a highly motivated and professional Front Desk Staff Member to join our team at our holistic substance abuse treatment facility. As the first point of contact for our clients and visitors, the Front Desk Staff Member will play a vital role in creating a welcoming and supportive environment. We welcome individuals who are passionate about recovery, or those who have been in active recovery for 3+ years. 

Responsibilities:

  • Respond quickly and efficiently to calls on a multi-line system. Direct incoming calls to appropriate colleagues. 
  • Ensure high quality customer service when responding to inquiries and conducting client follow-up. 
  • Schedule client appointments using a computerized system.
  • Maintain an accurate log of service inquiries. 
  • Maintain an accurate record of client programming. 
  • Maintain an accurate daily log of services performed, clients served, and payments accepted and processed.
  • Receive and process payment for services in a timely manner, including those provided by mail.
  • Perform accurate daily reconciliation of funds, including separate accounting of cash, checks, and credit card payments received.
  • Provide clients with appropriate documentation, paperwork, and testing supplies to ensure services are delivered in a comprehensive and complete manner.
  • Obtain and record client vitals and test results.  Complete training and demonstrate proficiency in skills prior to engagement with clients.
  • Maintain a clean and organized reception area.
  • Conduct weekly facility cleaning to ensure compliance with licensure regulations.
  • Ensure faxes and phone messages are promptly distributed to appropriate persons. 
  • Collect and distribute mail to appropriate persons.  
  • Provide timely and professional communication and correspondence to clients and colleagues, in person, in writing, and over the telephone.
  • Effectively multitask and prioritize multiple administrative tasks including database management, filing, organization, faxing, research, etc.
  • Report low supplies to Operations Manager to ensure timely replenishment.
  • Ensure client safety by communicating any unusual observations to the Operations Manager, Executive Director, or CEO.
  • Other duties that fall within the scope of this position as required. 
  • Adhere to the employee policies and procedures set forth by Conscious Healing. 

Qualifications:

  • High school diploma or equivalent
  • Prior experience in a front desk or customer service role
  • Excellent communication and interpersonal skills
  • Strong organizational and multitasking abilities
  • Ability to work well in a team-oriented environment
  • Basic computer skills, including proficiency in Microsoft Office
  • Familiarity with substance abuse treatment facilities or other healthcare settings is a plus
